Bull Valley Software (“BVS”) provides the DocumentLOK document management platform for K-12 school districts. This page summarizes privacy and terms information related to use of this website and the DocumentLOK platform.
Student Information Privacy
DocumentLOK is used by K-12 districts for the intended purpose of storing and managing student-related documents as part of the district’s Education Records. Those records may include registration documents, birth certificates, vaccination records, report cards, assessment results, transcripts, IEPs, and other document categories selected by the district.
DocumentLOK stores documents as 256-bit encrypted objects within a Microsoft SQL database along with associated metadata. The district controls its education records, repository, metadata, access permissions, and security protocols.
BVS does not have access to a district’s student information, education records, document repository, or metadata unless specific and temporary access is granted by an Authorized School Official for authorized support services.
Use of Student Personal Information
BVS states that it does not manage, store, retain, collect, copy, or sell student information. Any access during support is temporary, district-controlled, and ends when authorized support concludes.
- BVS does not use or disclose student information for advertising.
- BVS does not use student information for behavioral or targeted advertising.
- BVS does not sell student data or student personally identifiable information.
- BVS does not build student profiles.
- BVS does not accept student-data requests from parents, legal guardians, or students; those requests must be directed to the school district.
Compliance Support
No document management system can guarantee compliance. DocumentLOK provides tools districts can use to help their policies and procedures align with FERPA, HIPAA, FOIA, 20 U.S. Code §1232g, and applicable state or local requirements.
